How to find your EIN and what to do when something goes wrong with your EIN application.


Overview

Once ZenBusiness files for your EIN and the IRS issues it, your EIN document is stored in your ZenBusiness dashboard. Most customers find their EIN there within a few business days of their formation being approved. A small number of applications run into issues — the most common being EIN Error 101, which happens when the IRS finds a name conflict.

This article covers where to find your EIN, what Error 101 means and how to resolve it, and other common lookup questions.


Where to Find Your EIN

Your EIN is delivered as a document in your ZenBusiness dashboard:

  1. Log in at app.zenbusiness.com
  2. Go to Documents (in the left navigation)
  3. Look for your EIN Assignment Letter — it's typically labeled "EIN" or "Federal Tax ID"

If you don't see it:
- Your EIN may still be processing. ZenBusiness cannot file for your EIN until the state approves your formation. If your formation was just approved, the EIN filing is likely in progress.
- Check that your EIN service was included in your order. Log in → My Services to confirm.

If your formation is complete and more than a week has passed with no EIN, contact support — we'll check on the status.


EIN Error 101: Name Conflict

What is EIN Error 101?

Error 101 means the IRS found another entity in its records with the same or very similar name as your business. This is an IRS-level conflict, not a ZenBusiness issue.

The IRS's automated online system can't resolve Error 101 automatically — it requires filing a paper Form SS-4 (the EIN application) manually, which goes through the IRS's manual review process.

What happens next

If your ZenBusiness EIN application returns Error 101:
1. ZenBusiness will notify you by email with the next steps
2. We will help you prepare Form SS-4 — the manual EIN application form
3. The SS-4 is submitted to the IRS by mail or fax
4. Timeline: The IRS SS-4 process typically takes 4–8 weeks to complete
5. The IRS will send your EIN Assignment Letter directly to you (not through ZenBusiness) at the address on your SS-4

How to speed this up

Unfortunately, the SS-4 timeline is set by the IRS — ZenBusiness cannot expedite it. However, you can:
- Ensure your Form SS-4 is filled out completely and accurately before submission (ZenBusiness helps with this)
- If you call the IRS Business & Specialty Tax Line at 1-800-829-4933, you can apply by phone during their operating hours and receive your EIN immediately over the phone

What to do while waiting for your EIN

Most business operations can continue while your EIN is pending:
- Your LLC is legally formed with the state (the EIN is a federal tax ID, separate from state formation)
- Some banks will open a business account with a letter of explanation while the EIN is pending — contact your bank to ask
- You can still set up your ZenBusiness services and dashboard

My EIN isn't in my documents. How long should I wait?

ZenBusiness files for your EIN after your state formation is approved. If formation was just approved, your EIN is likely in process. Normal turnaround for online EIN applications is a few business days. If it's been more than 7 business days since your formation was approved and your EIN isn't in your dashboard, contact support.

I received my EIN but I lost the document. Can I get another copy?

Yes. Log in to your dashboard → Documents — your EIN letter is stored there permanently. If you can't find it, contact our support team and we can re-upload the document.

My business name changed after I got my EIN. Do I need a new EIN?

Usually not. The EIN is tied to the business entity, not the name. A name change typically requires filing a business amendment with the state (and updating the IRS by filing Form 8822-B), but the EIN itself stays the same. Certain structural changes — like converting from an LLC to a corporation, or adding/removing members in some cases — may require a new EIN. Consult your accountant if you're unsure.

Can I use the same EIN for multiple businesses?

No. Each business entity needs its own EIN. If you form multiple LLCs, each one gets a separate EIN. If you're operating under multiple trade names (DBAs) under a single LLC, one EIN covers all of them.

I'm getting a "9-digit number already in use" error from my bank. What does that mean?

This is typically an Error 101 situation (name conflict) or a data entry error. Verify you're entering the EIN correctly (XX-XXXXXXX format). If it's still rejected, contact ZenBusiness support — there may be an issue with how the EIN was recorded.
