How to Organize ZenBusiness Webmail With Folders, Search, and Filters
ZenBusiness Webmail keeps Inbox, Drafts, Sent, Spam, and Trash as built-in folders, and lets you create personal folders for the email you want to organize. Use search and sorting to find messages, then create filters to move, forward, flag, or delete matching incoming mail automatically.
Create and Manage Folders
System folders—Inbox, Drafts, Spam, Sent, and Trash—support core mail functions and cannot be renamed or removed. You can add subfolders inside them.
To create a personal folder:
- In Mail, open the three-dot menu above the folder list.
- Select Manage folders, then Create.
- Enter a folder name.
- Optionally select a parent folder to create a subfolder.
- Choose whether messages should display as a list or in threads, then select Save.
To rename, empty, or delete a personal folder, open Manage folders, select the folder, and choose the matching action. Emptying a folder moves its messages to Trash. Deleting a folder also moves its messages to Trash; empty Trash only after confirming you no longer need them.
Move, Sort, and Search Messages
Select one or more messages, then choose More → Move to and select the destination folder. You can also drag selected messages to a folder in the folder list.
To change how a folder is sorted, open it and choose Options above the message list. You can sort by arrival date, sent date, subject, sender, recipient, Cc, or size, in ascending or descending order. You can also choose whether to group messages into conversation threads.
Use the search field while viewing a folder to search the subject, sender, recipient, Cc, Bcc, body, or the entire message. Start with a narrower search such as From or Subject. Searching an entire large folder can take longer and may time out before results return.
Use Filters to Handle Incoming Email Automatically
Filters apply a rule whenever a new message arrives. Go to Settings → Filters and select Create to name a filter, choose whether all or any rules must match, and set the action.
You can match message fields such as sender, subject, recipient, or message content. Depending on the rule, Webmail can:
- Move the message to a folder
- Flag it for follow-up
- Forward or redirect it to another address
- Keep it in Inbox
- Discard or delete it
- Stop checking later filter rules
For example, create a filter that moves invoices with a subject containing “receipt” into an Accounting folder. Review filters occasionally to make sure a new rule is not hiding mail you need.
Use Plus-Sign Addressing With Filters
Plus-sign addressing creates variations of your business email address that still reach the same inbox. If your address is jane@mybusiness.com, messages sent to jane+orders@mybusiness.com or jane+newsletter@mybusiness.com arrive in Jane's inbox.
Use a distinct tag when signing up for a service, then create a filter that recognizes that address and sends related mail to a folder. Tags can help you identify where a mailing list got your address. They do not create separate mailboxes, and they do not replace a separate paid Business Email inbox when you need another independent address.
Allow or Block Specific Senders
Go to Settings → Spam Settings to maintain allowed and blocked sender lists. Add an address or domain to Allowed when it should bypass spam filtering. Add it to Blocked when messages from it should be treated as spam.
Use domain wildcards carefully. For example, *@example.com applies to every sender at that domain. A blocked entry takes priority over a matching contact, so remove a blocked entry if a contact's mail should be delivered. Contacts can be managed in Manage Webmail Contacts and Contact Groups.
Frequently Asked Questions
Can I rename the Inbox or Spam folder?
No. Inbox, Drafts, Spam, Sent, and Trash are system folders and cannot be renamed or removed. Create personal folders or subfolders when you need your own organization system.
How do I move several emails into one folder?

Why is my Webmail search slow?
Searching the entire message is more work than searching a subject line or sender. Start with a specific folder and a narrow field such as From, To, or Subject. A large entire-message search can take long enough for the Webmail session to time out.
What can an email filter do?
A filter can move, flag, forward, redirect, keep, discard, or delete incoming messages when their sender, subject, recipient, content, or other rule matches. Review the filter after saving it so you do not route important messages away from Inbox unintentionally.
Does plus addressing create a new mailbox?
No. A plus-tagged address such as jane+orders@mybusiness.com delivers to jane@mybusiness.com. It is useful for organization and filters, but it is not a separate login or inbox. Each independent Business Email address requires its own purchase.
How do I stop a sender from reaching my inbox?
Go to Settings → Spam Settings, add the email address or domain to Blocked, and save. Use a wildcard such as *@example.com only when you intend to block all senders at that domain. Check the list before saving to avoid blocking a trusted contact.
