How to Manage Webmail Contacts and Contact Groups
Use the Contacts tab in ZenBusiness Webmail to save business contacts, organize them into groups, and address messages without retyping every email address. You can add a contact manually or from a received email, import a CSV or vCard file, and use groups for clients, vendors, or team lists.
Add a Contact
To add a contact from the Contacts tab:
- Select Contacts in the Webmail sidebar.
- Select Create in the toolbar.
- Enter the contact information in the contact card.
- Select Save.
To add someone from a message you received, open the message, select the sender's email address in the header, and choose Add to address book. The address is saved to your contacts. You can then open the contact and use its Groups tab to add it to one or more groups.
Search and Select Contacts
Use the search box at the top of the contact list to search by display name, email address, first name, last name, or other saved information. For a more detailed search, select Search in the Contacts toolbar and enter as many fields as you need.
To select multiple contacts, select Select above the list and use the checkboxes. You can then place them in a group or select Compose to start a message to the selected contacts. Contact details display for one contact at a time, so open an individual contact when you need to edit its saved information.
Create and Use Contact Groups
Groups make it easier to address recurring lists, such as clients, vendors, or your internal team.
- In Contacts, open the three-dot menu above the Groups pane.
- Select Add group.
- Enter the group name and select Save.
- Select one or more contacts, then drag them onto the group or choose More → Assign to group.
Adding a contact to another group creates another membership; it does not remove the contact from its other groups. To remove a contact from a group, open the group, select the contact, then choose More → Remove from group. The contact remains in your address book. The default Contacts group cannot be removed from a contact.
Use the group menu to rename or delete a group. Deleting a group removes the group, not the contacts saved in your address book.
Import Contacts From Another Email Service
Webmail can import contacts from a CSV or vCard (.vcf) file.
- Open Contacts and select Import.
- Select Choose file and choose the CSV or vCard file from your device.
- Choose the group that should receive the imported contacts, if needed.
- Review the option to replace the existing address book. Select it only if you intentionally want the import to replace current contacts.
- Select Import and wait for confirmation.
Importing into a named group helps keep a new list separate from existing contacts. Before replacing an address book, export or back up the source list so you can recover it if the wrong file is selected.

Can I add a contact from an email I received?
Yes. Open the message, select the sender's address in the header, and choose Add to address book. Webmail saves the address as a contact. Open the new contact afterward if you want to add a name, more details, or a group.
How do I email several contacts at once?
Select Contacts, choose Select, and check the contacts you want. Then select Compose to start a message to them, or add them to a group first so you can use that group again later.
Will removing a contact from a group delete the contact?
No. Choose More → Remove from group to remove only that group membership. The contact remains in your address book unless you separately delete the contact itself.
Can one contact belong to multiple groups?
Yes. You can drag the same contact into multiple groups or assign it through More → Assign to group. This is useful when a client is also a vendor or when a team member belongs to more than one working list.
Which files can I use to import contacts?
Use a CSV file or a vCard file with the .vcf extension. In Contacts, select Import, choose the file, select an optional destination group, and confirm the import settings before continuing.
What happens if I replace my address book during import?
Webmail replaces the existing address book with the file you import. Use that option only when the uploaded file is intended to become your complete contact list. Otherwise, leave it unselected and import contacts into a new or existing group.
