How to Read, Send, and Manage Messages in ZenBusiness Webmail
Use ZenBusiness Webmail to read and send business email from a browser. Open the message list to select one or more messages, then use the toolbar to reply, forward, move, flag, mark, delete, or report them as spam. Use a current version of Chrome, Firefox, Safari, or Microsoft Edge for the best experience.
Check, Select, and Read Messages
Open Mail in the Webmail sidebar to see your folders, message list, and message preview. Select Refresh in the toolbar when you want Webmail to check for new messages immediately.
To work with several messages at once:
- Select Select above the message list.
- Use the checkboxes beside messages to choose the messages you need.
- Use the toolbar to move, delete, flag, mark, or report the selected messages.
- Select Select again when you are done choosing messages.
To mark a message as read or unread, select it and use the Mark menu, or select the circle icon beside the message. To flag an important message for follow-up, use Mark → As flagged or select its flag icon. Use As unflagged to remove the flag later.
Send, Reply To, or Forward an Email
Select Compose to start a new message. Enter the recipient in To, add a subject, write your message, attach any files, and select Send. Select the plus icon beside the recipient field when you need to add Cc, Bcc, or a different reply-to address.
To respond to a message, open it and choose Reply, Reply All, or Forward from the toolbar. Use Reply when only the sender needs your response. Use Reply All only when every recipient needs the reply, and use Forward to send the original message to someone new.
The editor supports plain text and formatted HTML messages. You can use text styling, links, lists, tables, images, special characters, and spellcheck. Choose a spellcheck language in the compose toolbar; Webmail highlights possible spelling errors as you type.
Attach Files and Insert Images
To attach a file, select Attach in the compose toolbar, choose the file from your device, and wait for it to appear in the attachments area before sending.
A message, including its attachments, can be up to 35 MB. Delivery can still fail when the receiving mail provider has a lower limit, and email encoding makes attachments larger in transit. For a large file, use a file-sharing service and send a link instead.
To put an image inside the message body, select the image icon in the editor. You can provide the image URL or choose a file available to the editor, then adjust its size before inserting it.
Delete Messages or Report Spam
To delete a message, select it and choose Delete. Messages deleted from Inbox, Sent, Drafts, or personal folders move to Trash first. A message deleted from Trash is permanently deleted.
To report unwanted mail, select the message and choose Spam. Webmail moves it to the Spam folder and uses the report to improve filtering. Spam-folder messages are automatically deleted after 30 days.
If a legitimate message was marked as spam, open or select it in Spam and choose Not Spam. Webmail returns it to Inbox and uses that correction to improve future filtering. You can also add trusted senders to your allowed list; see Organize Email With Folders, Search, and Filters.

How do I see whether I have new email in Webmail?
Open Mail and select Refresh in the toolbar. Webmail immediately checks your system and personal folders for new messages. If you are expecting a message that does not appear, check Spam and confirm that the sender used the correct business email address.
How do I select more than one message?
Select Select above the message list, then use the checkboxes beside each message. After choosing messages, use the toolbar to move, delete, flag, mark, or report all of them at once. The message preview shows details for one message at a time.
What is the difference between deleting a message and emptying Trash?
Deleting a message normally moves it to Trash, where it remains available until Trash is emptied. Deleting a message from Trash permanently removes it. Review the message before emptying Trash if you may need it later.
Can I attach a file larger than 35 MB?
No. A message and all of its attachments together must be 35 MB or smaller, and the recipient's provider may allow less. Upload larger files to a sharing service and email a link instead of attaching them directly.
Why did a real email go to Spam?
Mail can be marked as spam because of its sender, subject, content, or routing. Open the message in Spam and choose Not Spam to move it to Inbox. Add a frequent sender to Settings → Spam Settings → Allowed if needed.
Can I use Webmail in any browser?
Use a current version of Chrome, Firefox, Safari, or Microsoft Edge. If Webmail does not load, try a private browser window, disable extensions for one test, clear the site cache, and confirm you can sign in at mail.zenbusiness.com.
