ZenBusiness Business Email Features Guide

ZenBusiness Business Email (at mail.zenbusiness.com) includes email filters, plus-sign addressing, out-of-office autoresponders, email forwarding, contact groups, and a full-featured webmail editor. All settings are in Settings in the webmail interface after logging in at mail.zenbusiness.com.


Plus-Sign (+) Email Addressing

Plus-sign addressing lets you create unlimited variations of your email address that all deliver to your inbox. If your address is jane@mybiz.com, any message sent to jane+orders@mybiz.com or jane+support@mybiz.com or jane+newsletter@mybiz.com arrives in your inbox.

Why it's useful:
- Track where messages come from — use a unique plus address on every form or website you sign up for
- Pair with email filters: create a filter that moves all messages sent to +orders into a specific folder automatically
- No setup required — plus addresses work immediately without any configuration


Email Filters

Filters automatically sort, flag, forward, or delete incoming email based on rules you define — keeping your inbox organized without manual work.

Set up a filter

  1. Log in at mail.zenbusiness.com
  2. Go to Settings → Filters
  3. Click Create New Filter
  4. Set your condition — filter by sender, subject, body content, or keywords
  5. Set the action:
  6. Move to folder — route matched emails to a specific folder
  7. Flag — mark for follow-up
  8. Forward — send a copy to another email address
  9. Discard — delete matched emails without delivering to inbox
  10. Save the filter

Manage existing filters

Go to Settings → Filters and click the gear icon next to any filter to enable, disable, edit, or delete it.

Performance note: Avoid using "entire message" as the search scope on large inboxes — scanning full message bodies is slow. Use sender, subject, or header conditions for faster processing.


Out-of-Office / Vacation Autoresponder

An autoresponder sends an automatic reply to anyone who emails you during a set period — useful for vacations, holidays, or any planned absence.

Set up an autoresponder

  1. Log in at mail.zenbusiness.com
  2. Go to Settings → Autoresponder
  3. Write your message
  4. Set the active start date and end date
  5. Check Enable and click Save

The autoresponder activates on the start date and stops automatically on the end date. To turn it off early, uncheck Enable and click Save.


Forward Email to Another Account

Email forwarding sends a copy of every incoming message to a second email address — useful if you check another inbox (like Gmail) more regularly.

Set up forwarding

  1. Log in at mail.zenbusiness.com
  2. Go to Settings → Mail Forwarding
  3. Enter the destination email address
  4. Choose whether to keep a copy in your ZenBusiness inbox or forward without saving a local copy
  5. Enable and save

If you enable forwarding without keeping a local copy, messages will not appear in your ZenBusiness inbox — only in the forwarding destination. Enable "keep a copy" if you want access from both inboxes.


Email Signature

Set a professional signature that appears automatically on all outgoing messages.

  1. Go to Settings → Identities
  2. Set your display name and optional reply-to address
  3. Create your signature — use plain text or HTML for logos, colors, and links
  4. Save

Organize with Folders

System folders (Inbox, Drafts, Sent, Spam, Trash) are built-in and cannot be renamed. Spam auto-deletes after 30 days.

Create a personal folder:
1. Click the three-dot menu (⋮) next to your folder list
2. Select Manage Folders → Create
3. Name the folder and save

Move messages by selecting them and clicking Move To, or by dragging and dropping into a folder.


Manage Allowed and Blocked Senders

Control what lands in your inbox:

  1. Go to Settings → Spam Settings
  2. Add addresses or domains to the Allowed list (never marked spam) or Blocked list (always filtered out)
  3. Use *@domain.com to block an entire domain

Contacts and Contact Groups

Import contacts

Go to the Contacts tab → click Import → upload a CSV or vCard (.vcf) file to bulk-import your contact list. To add a contact from an email you received, open the message, click the sender's address, and select Add to address book.

Create a contact group

Groups let you email multiple people at once with a single name in the To field (e.g., "Team" or "Clients").

  1. Go to Contacts → Groups
  2. Click the three-dot menu → Add Group
  3. Name the group
  4. Drag contacts into the group, or select contacts and choose Assign to Group
  5. To remove a contact from a group: select them → More → Remove from group (they stay in your address book)
  6. To rename or delete a group: click the three-dot menu next to the group name

Email Storage and Limits

  • Storage per inbox: 5 GB
  • Attachment limit: Up to 35 MB per message (final delivery also depends on recipient's server limits)
  • Email accounts: Up to 5 per Business Email subscription

Back up your email: Webmail does not have a built-in export tool. Connect an email client (Outlook, Thunderbird, Apple Mail) via IMAP and export from there as .eml or .mbox files.


Troubleshooting

Permission error during initial email setup

A "permission error" when you first try to create your business email is a backend provisioning issue — the email account creation didn't complete correctly in the hosting system.

What to do:
1. Wait 15 minutes
2. Return to your ZenBusiness dashboard and try the email setup flow again
3. Most provisioning delays resolve on their own within 15–30 minutes

If the error persists after 30 minutes, contact our support team with your domain name and the email address you were trying to create. Do not purchase a new email subscription — the issue is in provisioning, not your subscription status.

Can't log in to webmail

  1. Go to mail.zenbusiness.com (not a different URL)
  2. Confirm you're using your full email address as the username (e.g., info@yourbusiness.com)
  3. Clear your browser cache or try an incognito window
  4. If you've forgotten your password and have password recovery set up, use the Forgot Password link on the login screen
  5. If password recovery is not set up, contact our support team for a manual reset

Email not arriving / going to spam

Check your Spam folder — messages from new senders are sometimes filtered. If legitimate messages land in spam, select them and click Not Spam to improve future filtering. Add frequent senders to your Allowed list in Settings → Spam Settings.


Frequently Asked Questions

What is plus-sign (+) email addressing?

Plus addressing lets you receive email sent to yourname+anything@yourdomain.com directly in your inbox. Create unlimited variations (like +orders, +support, +newsletter) to track message sources and pair with filters to auto-sort messages into folders. No setup required.

Can I have multiple email addresses on one domain?

Yes — up to 5 email accounts per Business Email subscription (e.g., info@, support@, yourname@, billing@). Each account has its own 5 GB inbox and login. Manage all accounts from your ZenBusiness dashboard under Web Tools → Email.

How do I set up an out-of-office message?

Log in to webmail → Settings → Autoresponder → write your message → set start and end dates → Enable → Save. The autoresponder turns off automatically on the end date.

How do I forward my business email to Gmail?

Go to Settings → Mail Forwarding in webmail, enter your Gmail address, and enable forwarding. You can choose to keep a local copy in your ZenBusiness inbox or forward only. Note: this forwards incoming mail — to send from Gmail using your business address, you'd also need to add the account under Gmail Settings → Accounts → Send mail as.

I'm getting a "permission error" when I try to set up my email. What do I do?

Wait 15 minutes and try again from your ZenBusiness dashboard. This is a backend provisioning delay that usually resolves on its own. If it persists after 30 minutes, contact our support team — don't purchase a new subscription.

Can I use my ZenBusiness email in Outlook or Gmail?

Is there a ZenBusiness mobile app for email?
