How to Store and Share Files in ZenBusiness Webmail
If Files appears in your ZenBusiness Webmail sidebar, you can upload and organize files, create folders, and share a file or folder with a link. Open mail.zenbusiness.com and select Files. Files uses the storage quota assigned to your account, so remove unneeded content before uploading a large file.
Upload and Organize Files
Open Files, navigate to the folder where you want the item, and select Upload file here. Choose a file saved on your computer, then wait for it to upload. You can upload documents, images, videos, and other file types as long as your account has enough space.
To create a folder, select Create folder, enter a name, and confirm. Folder names cannot contain a forward slash, cannot begin with a period, and cannot be index.htm or index.html. Select a folder before creating a subfolder when you need a nested structure.
Keep names concise and organize related files into folders before sharing them. Available storage and folder limits can differ by account, so do not depend on a specific file count when planning a large upload.
Move or Delete a File or Folder
Select the file or files you want to relocate, choose Move, then select the destination folder. Files and folders display in alphanumeric order, so use clear prefixes such as 2026- or Client- when a predictable order is helpful.
To delete a file or folder, point to it, select Delete, and confirm. Deleting a folder also deletes its files and subfolders. If you delete a shared file, people who use its link can no longer open it.
An email attachment is not automatically saved to Files. Save the attachment to your computer first, then upload it to Files. Similarly, you cannot attach an item stored in Files directly to a new email; share its link instead.
Share a File or Folder With a Link
To share an item:
- Open Files and select the file or folder.
- Choose Share to create a link.
- Select the link icon beside the shared item.
- Copy the displayed URL and send it only to the people who should have access.
Anyone who has the link can open the corresponding shared file or folder. Before sharing, confirm that the item does not contain customer, banking, tax, password, or other sensitive information. Remove sharing or delete the item when access should end.
